MINUTES OF THE MEETING OF THE CEMETERY COMMITTEE HELD AT THE CEMETERY CHAPEL ON 24 OCTOBER 2005

AT 4.30 PM

 

Present:

Mr J C Wilding (Chairman), Mr G Bisson, Mrs E Butcher, Mr E Gailor and Mr D Newport.

Apologies:

Mr M Rollé.

Minutes of Previous Meetings

The minutes of the Committee meetings held on 20 July 2005 and 9 August 2005, having been circulated, were agreed by the Committee and signed by the Chairman as correct records.

Matters Arising

Repair to Gas Heater

The Clerk reported that the work had now been satisfactorily completed.  No charge had been made as the heater was under guarantee at the time of repair.

Grass Cutting Contract

RESOLVED: 

(a)  That Lyndhurst Landscaping be asked to undertake a third grass cut at the Cemetery as soon as possible.

(b)  That tenders be sought for the grass cutting contract for 2006/07 to include three cuts, to be implemented as necessary by the Parish Council.

Water Supply

The Cemetery Committee Chairman reported that he had met Mr Will Parke, Land Agent for the Forestry Commission to discuss the proposed route for a possible water supply. 

Mr Parke had agreed to undertake the necessary negotiations with English Nature and the Verderers and report back to the Parish Council.  It was understood a fee of approximately £100 would be involved.

Chapel Lighting

RESOLVED:  To hold this matter in abeyance to await the outcome of negotiations regarding the possible water supply.

Cemetery Maintenance

(a)  That Mr Malcom be asked if he wished to continue with the maintenance contract for the Cemetery and, if so, to be asked whether he could hold the present yearly price or if an increase would be necessary.  Depending on the outcome of this the contract would be awarded or new tenders sought.

(b)  That Mr Malcom be asked to cut back the brambles around the paths.

War Memorial Maintenance

It was agreed that the railings would need to be painted in spring next year.

 

RESOLVED:  That the Parish Council purchase the paint and seek volunteers to undertake the work.

Lych Gate Maintenance

RESOLVED:  That maintenance of the lych gate be added to the Cemetery budget for the forthcoming year to include treatment to fascias and front but to leave the cross as at present.

Tree Work

To maintain a watching brief at present.

Cemetery Records

Discussion took place regarding the possibility of computerised records.

 

RESOLVED:  That a new map of the cemetery be purchased.

Funeral Director Paperwork

The Clerk reported that she had experienced difficulty with one particular funeral director in obtaining the necessary paperwork regarding burial of cremated remains and scattering of ashes.  Although the paperwork had arrived the previous day the situation was considered unsatisfactory.

 

RESOLVED:  That the Clerk write to the Funeral Director stating that three clear working days must be given for all interments and that plots must not be used until they have been clearly marked up by the Parish Council.  No interments will be allowed until the necessary paperwork has been received by the Clerk.
